Sales Support Rep I
- Own the internal sales support process for assigned machine sales transactions from order receipt through final delivery.
- Review incoming sales orders for accuracy, completeness, required approvals, documentation, system updates, and downstream impacts.
- Coordinate equipment availability, sourcing, transfers, ordering activity, and configuration requirements to meet customer and sales commitments.
- Build and manage transaction timelines, logistics plans, shop preparation needs, delivery schedules, and key handoffs across internal teams and vendors.
- Proactively communicate status, risks, delays, and next steps to sales representatives through internal systems, email, and phone communication.
- Maintain accurate inventory records, including sold and reserved equipment status within company systems.
- Prepare customer invoices, charge estimates, and supporting accounting entries required for completed sales transactions.
- Partner with finance teams to support customer financing requests and facilitate successful order fulfillment.
- Manage and maintain complete machine files, including financial, warranty, delivery, and related transaction documentation.
- Coordinate machine preparation activities with service departments and external vendors to ensure equipment meets customer specifications.
- Arrange and track installation of attachments, parts, repairs, and other equipment modifications while managing related vendor invoices.
- Organize transportation logistics, freight documentation, purchase orders, and delivery paperwork to ensure on-time asset delivery.
- Coordinate equipment demonstrations and loaner units, including scheduling, equipment readiness, customer documentation, and billing support.
- Develop and maintain a strong understanding of equipment, rental products, product configurations, and sales support processes.
- Cross-train and provide support across multiple sales support functions, including General Line (GL), CCE, SITECH, EPG, and Used Equipment operations.
- Travel is required for training and/or to assist at other locations.
- Experience owning a complex sales or operational process from start to finish, coordinating multiple stakeholders and ensuring a seamless customer experience.
- Strong organizational skills with the ability to manage multiple transactions, deadlines, documents, and stakeholder requests without losing track of details.
- Clear, professional communication skills with the confidence to follow up, ask questions, resolve issues, and keep others accountable to next steps.
- Ability to learn complex systems, product terminology, internal workflows, and business processes quickly and apply that knowledge independently.
- Comfortable working with financial, inventory, warranty, purchasing, and customer-related documentation where accuracy and attention to detail are critical.
- Strong computer skills and willingness to use multiple company systems to track activity, update records, and provide real-time visibility to stakeholders.
- High attention to detail, sound judgment, and a proactive approach to identifying issues before they become problems.
- Ability to drive and valid driver’s license required.
- Experience in sales operations, equipment sales support, order management, logistics coordination, finance support, accounting, or another process-heavy customer fulfillment role.
- Bachelor’s degree in business, accounting, operations, supply chain, or a related field.
