Fleet Maintenance Coordinator

Cleveland Brothers, the largest Cat® dealer in Pennsylvania, northern West Virginia, and western Maryland, has an immediate opportunity for a Fleet Maintenance Coordinator.

The Cleveland Brothers Equipment Management Services team supports customers by coordinating planned maintenance, inspections, fluid analysis, and equipment monitoring services for Caterpillar and competitive equipment. We work closely with customers, sales teams, and internal support groups to help keep equipment maintained, reduce unplanned downtime, and improve overall fleet performance through proactive service planning and operational support.

Job Summary:

The Fleet Maintenance Coordinator supports planned maintenance execution by reviewing machine data, identifying recommended services, and coordinating with internal teams and customers to help ensure maintenance is completed on time. This role uses Caterpillar systems and other digital tools to track machine maintenance needs, support service scheduling priorities, maintain documentation, and provide reporting related to maintenance activity. The position requires strong attention to detail, effective communication, and the ability to manage ongoing follow-up across multiple machines, customers, and internal teams.

Responsibilities:

• Utilize Caterpillar proprietary software and other web-based applications to identify planned maintenance services that require scheduling or follow-up
• Review machine maintenance needs and help prioritize recommended service activity
• Coordinate with the centralized service department and customers to support timely maintenance scheduling and execution
• Maintain required documentation and tracking related to machine maintenance activity
• Develop, generate, and review monthly, annual, or other required reports related to maintenance planning and service activity
• Communicate professionally and effectively with Cleveland Brothers personnel and customers by phone, email, or in person
• Support ongoing machine tracking and follow-up across assigned fleets or customer groups
• Support special projects and provide backup coverage for other departmental functions as needed
• Travel occasionally throughout the territory as required

Qualifications:

• High school diploma or equivalent required; associate degree or higher is preferred
• Experience in maintenance planning, service coordination, fleet support, equipment support, or a related role preferred
• Strong attention to detail and good problem-solving skills
• Strong computer and software skills are required
• Ability to work across multiple systems and maintain accurate records and follow-up
• Good communication skills and ability to work effectively with customers and internal teams
• Basic knowledge of heavy equipment, maintenance intervals, or service operations is preferred
• Ability to work independently in an office environment while also supporting cross-functional projects and priorities

Work Environment / Physical Requirements:

• Work is primarily performed in an office environment
• May require occasional travel to customer sites or offsite training
• Occasional travel throughout the territory may be required
• Must be able to safely follow all company safety procedures
