Job Summary: The Service Coordinator is responsible for the efficient scheduling of field service jobs, supporting technicians with logistics such as parts requisitions and expense submissions, and ensuring timely and accurate job closeouts. This role requires strong organizational skills, attention to detail, and a service-minded approach to support internal and external stakeholders.


 


Entry-level position – Performs work under direct supervision and generally has less than three years of experience and/or demonstrated job relevant knowledge/skills. Additionally, the incumbent should possess beginning working knowledge of subject matter with the ability to handle basic issues and problems.


 


The incumbent in this position is expected to model the following practices daily: 1) Demonstrate alignment with the company's mission and core business values; 2) Collaborate with key internal/external resources; 3) Participate in ongoing self-development.


 


Essential Functions:



  • Schedule and dispatch technicians for field service and installation work

  • Open, maintain, and close service jobs in ERP/service management software

  • Track technician labor hours, travel, and job-related expenses

  • Ensure accurate parts, materials, and labor costs are recorded for each job

  • Communicate daily with field technicians to provide updates, clarify schedules, and resolve issues

  • Process parts replenishment requests and coordinate with the Parts Department or vendors

  • Follow up on job status to ensure timely completion and accurate documentation

  • Escalate any job delays, parts shortages, or customer concerns to the appropriate manager

  • Collaborate with Supply Chain to manage replenishment of frequently used service parts

  • Support service management in maintaining job board visibility and work backlog tracking

  • Ensure service reports, photos, and customer documentation are complete and stored correctly

  • Work safely at all times and comply with all company safety policies and procedures

  • Requires regular and punctual employee attendance 

  • Perform other duties as assigned


 


Knowledge, Skills, and Abilities:



  • Strong organizational and multitasking skills

  • Excellent written and verbal communication skills

  • Proficient in Microsoft Excel, Outlook, and ERP or service dispatch software

  • Basic understanding of service workflows, work order systems, and job costing

  • Ability to build positive relationships with field technicians and other departments

  • Strong sense of urgency and ownership of responsibilities


 


Education and Experience:



  • High school diploma or GED required

  • Minimum 2 years of experience in a dispatching, service coordination, or technician support role required 

  • Experience in construction, mechanical, electrical, or manufacturing field service preferred


 


Supervisory Responsibilities:



  • None


 


Travel:



  • Minimal, less than 5%


 


Physical Requirements:



  • This position involves extended periods in a stationary position, standing, and walking; occasionally kneeling, crouching, and stooping

  • Frequently communicates with others, must be able to exchange accurate information in a professional manner

  • Constant movement and use of limbs; this position requires good manual dexterity, coordination, and stamina

  • Occasionally moves materials or equipment weighing up to 25 lbs.

  • Routinely reacts to visual, auditory, and other signals, including alarms and instructions

  • Ascend/descend with gradual or continuous progress using both hands and feet to climb up and down ladders


 


Work Environment:



  • This job is generally performed in a professional office environment in environmentally controlled conditions, with occasional exposure to outdoor conditions at job sites

  • Occasionally works outdoors and may be exposed to weather extremes including inclement weather, heat, cold, and humidity

  • Frequently works at a fast pace with unscheduled interruptions
