Job Summary:


The Service Writer is responsible for being a liaison between the shop and external customers, communicating progress on service work in our Power Systems division. 


 Responsibilities:



  • Open, maintain, and close CVA (maintenance) work orders related to generator units, ATS systems, and related components. 

  • Collect and verify generator model, serial number, and application details to ensure accurate job records. 

  • Coordinate CVA field service calls for generator PMs, load bank tests, fuel testing, diagnostics, and emergency repairs. 

  • Assist in scheduling and tracking regular maintenance intervals on standby and prime power generator units. 

  • Prepare and communicate service estimates for generator inspections, engine overhauls, coolant system flushes, fuel system services, battery replacements, and control panel diagnostics. 

  • Collaborate with the parts department to ensure generator-specific parts (filters, control modules, sensors, etc.) are ordered and delivered timely. 

  • Track rental equipment usage (e.g., temporary gensets) and coordinate temporary power solutions for customers as needed. 

  • Review technician inspections and service reports to identify additional service opportunities or follow-up actions. 

  • Document generator testing results (e.g., load bank test readings, voltage/frequency checks) and attach to work orders. 

  • Assist with warranty and service claim processing related to generator units, including failure documentation and claim entry. 

  • Communicate clearly with customers regarding generator performance issues, service timelines, and post-repair recommendations. 

  • Ensure all generator service work complies with Fabick Cat standards and manufacturer guidelines.

  • Maintain familiarity with customer site requirements (access, safety protocols, power outage windows) for generator service events. 

  • Monitor technician field performance and time entries, especially for long-term generator service jobs or emergency response situations.

Qualifications:


  • High school diploma or GED required; Associate degree or technical certification preferred.

  • 2+ years of experience in a service writing, dispatching, or service coordination role — preferably in power generation, heavy equipment, or diesel service industries. 

  • Strong mechanical aptitude and familiarity with generators, engines, switchgear, or related systems. 

  • Excellent communication, organizational, and customer service skills. 

  • Proficiency in Microsoft Office and dealership management systems (e.g., Caterpillar’s DBS or similar). 

  • Ability to multitask and thrive in a fast-paced, team-oriented environment.

While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to sit for long periods, stand, walk, bend and stoop to perform the essential functions of this job. Occasionally lift and/or move up to 20 pounds.
