Facilities Coordinator
- Point of contact for Facilities requests to include but not limited to work order assignment, vendor management, needs assessment, quality control, project management, and invoice submittal for facilities related work orders and projects.
- Acting as a liaison between the customer and the work being completed, with frequent communication of status updates.
- Regional responsibility of specific Foley locations, with specific site responsibilities to include but not limited to:
- Supporting and coordinating large capital projects for the Facilities Project Manager.
- Ownership and executing on smaller scale repair & maintenance projects. Execution and tracking of the capital funding requests.
- Conduct quality assessments/audits of sites and provide recommendations.
- Prioritize work based on needs and urgency.
- Act as the primary point of contact for communications and coordination.
- Establishing site specific standard operation procedures.
- In combination with Facilities Operations Manager, Director of Facilities, and other Facilities Coordinators, determine preferred vendor selection. Establish and maintain contractor management relationships. setting expectations regarding quality, safety, and delivery expectations.
- Maintain asset data points within our Facilities Condition Assessment software tool (Paragon).
- Providing perspective and recommendations for security related issues and systems (key system, cameras, access control). This includes weekly check-ins to ensure functionality of all security systems.
- Act as subject matter expert to challenge and offer alternatives for solutions to improve operations and/or experiences
- Invoice review, coding, tracking and submission.
- Assist with continuous improvement of maintenance and repair processes, policies and procedures, and standard operating procedures.
- Develop and maintain relationships with internal customers and suppliers.
- Respond to after-hours facilities related emergencies and/or issues.
- Travel is required for training and/or to maintain all locations in your assigned territory.
- 2-3 years Facilities Management and/or Customer Service industry related work experience
- Familiar with electrical, mechanical, life safety systems and building codes
- Ability to define problems, and resolve them quickly
- Ability to interact effectively with customers, vendors and employees at all levels of the organization
- Strong knowledge of established construction and maintenance practices, procedures and techniques as well as applicable local, state and federal building codes
- Experience or knowledge in FEXA and/or Paragon software tools
