Technician Technical Training Facility Assistant
Responsibilities:
- Serve as the primary administrator for the Dealer Performance Center (DPC)/Fabick Academy (LMS- Logic Bay).
- Act as the first point of contact for Learning Management system troubleshooting and submit SNOW tickets as necessary.
- Assign, register, and manage instructor-led training (ILT) courses.
- Approve ILT classes and update course and user profile information.
- Track and report training metrics, attendance, and completion records.
- Provide general user support and training assistance as requested.
- Welcoming incoming attendees to the Janesville Training Facility
- Give orientation to incoming attendees
- Maintain office supplies and other training facility materials
- Coordinate meals and drinks for training sessions
- Main point of contact for facility maintenance coordination
Financial Duties:
- Invoice customers for training-related charges (e.g., Tuition, CAT SOS, Schematics, ET, SIS).
- Manage and reconcile training department credit card expenses; submit documentation for Concur approvals and payments.
- Complete and submit weekly Accounts Payable (AP) templates.
- Process and track invoices from training vendors and suppliers.
- Maintain documentation and invoice records for CAT Paving and MSHA programs.
Travel & Logistics:
- Coordinate travel arrangements (flights, hotel, and vehicle rentals) for training participants and staff.
- Maintain clear communication regarding travel logistics and policies.
- Maintain vendor relationships and handle invoicing for event or training-related purchases (e.g., Staples, PDQ, Honey Baked Ham).
- Coordinate arrangements for training events or off-site classes, including venue setup and catering.
- Manage the Product Support Commercial System (PSCS) and Caterpillar Customer Admin Tool as backup.
- Set up and configure Customer CWS IDs via IdentityIQ.
- Submit literature orders and manage Midland invoice processing through the Electronic Media Center.
- Work with HR to integrate with Human Resources Information systems for optimal integration setup.
- Provide backup support for Product Support Sales programs such as Merchandising Programs, Gatekeeper, and The Legendary Challenge.
- High school diploma or equivalent; Associate's or Bachelor's degree required.
- 2+ years of experience in training coordination, administrative support, or a related role.
- Proficiency in Microsoft Office Suite and familiarity with Learning Management Systems (LMS).
- Strong organizational, communication, and time management skills.
- Ability to handle confidential information with discretion.
- Experience with invoicing, expense reporting, and vendor communication is a plus.
- Knowledge of Caterpillar systems and tools (DPC, PSCS, IdentityIQ).
- Experience with enterprise platforms like Concur, SNOW (ServiceNow), or other ticketing systems.
- Familiarity with safety and compliance training programs (e.g., MSHA).
