Job Description

Peterson Power Systems has a need for a Power Sales Administration Supervisor at our Hillsboro, OR location.

SUMMARY

The Power Sales Administration Supervisor is responsible for overseeing the Peterson Power Sales Coordinator team while also performing normal Sales Coordinator duties. Key responsibilities include overseeing the hiring, training, and workflow optimization of the Sales Coordinator team, enhancing the team’s efficiency, and monitoring key performance metrics. This role is responsible for ensuring accurate invoicing, streamlining sales coordination processes, and driving success within the Sales department.

ESSENTIAL JOB FUNCTIONS

  • Perform all duties of a Sales Coordinator while also ensuring that their direct reports fulfill their daily duties.

  • Supervise, mentor, and support Sales Coordinator team as a primary point of support and coordinate for coverage when team members are out of the office.

  • Travel at minimum monthly to San Leandro or Hillsboro to work with Sales team in-person and participate in Sales departmental meetings

  • Manage Global Commercial Support System (GCSS) reports and elevate any outstanding claims over 15 days.

  • Prepare program set aside write-off recommendations monthly for General Manager to review and send to Power Sales team.

  • Work with Power Sales team to resolve outstanding warranty related set asides.

  • Reconcile deal packet missing items report from Power Sales to ensure complete packets are ready for audit.

  • Process customer invoices for new equipment, report all new Caterpillar generator sales via PINS Report, and create commission vouchers.

  • Ensure timely invoicing to customers for new generator sales.

  • Collaborate with Peterson Power Sales Management, Sales Coordinators, Sales Representatives, Accounting department, and other Peterson departments as necessary to maintain close tracking of invoices; initiate and track post-sale claims from Sales Representatives until full fund are fully recovered from Caterpillar.

  • Keep current on Caterpillar Merchandising Programs and use knowledge to drive maximum utilization of all applicable “value-add” claim options.

  • Ensure timely submission of claims and full recovery of funds claimed. File claims within the allotted timeframe.

  • Manage Special Pricing Assistance (SPA) to ensure appropriate discounts are claimed and support dollars are maximized within Cat program guidelines.

  • Protect Peterson from audit violations by ensuring machine packet contents are complete and in proper order before filing.

  • Manage Manufacturer’s Statement of Origins (MSO’s)

  • Work with Customer Value Agreement (CVA) team to enroll all sold units as needed in Cat CVA tracking system.

  • Maintain electronic and hard copy files of generator/attachment records as needed.

  • Keep current on relevant department and company operational and administrative matters.

  • Continuously improve and refine Sales Coordinator processes to reduce waste and redundancies

  • Complete other administrative and clerical duties as assigned.

  • Operate company or personal vehicle as needed

  • Maintain punctual, regular, and predictable attendance.

QUALIFICATIONS

Associate degree from a fully accredited college; and a minimum of three (3) years of directly related experience, preferably in a heavy industrial environment with; or an equivalent combination of education and work experience.

  • Working knowledge of CAT and Allied equipment nomenclature is preferred

Possess and maintain a valid driver's license and satisfactory driving record
