The Parts and Service Clerk is responsible for supporting Parts or Service Department sales and operational functions by working with internal employees and customers in a manner that reflects the company’s vision of working as “One Professional Team.” Depending on the location, the Parts and Service clerk will perform some or all of the functions listed below.

Pay rate:  $19.00 - $28.52 per hour
Pay rate is dependent upon education & experience. 

Essential Functions:

  • Answers SITECH general phone, forwarding the phone to the proper person
  • Processes Counter and Shop orders for inside and outside customers and credits where necessary
  • Order and process Vendor Parts from Trimble or CAT, when directed
  • Works cooperatively with fellow team members to accomplish warehouse/parts tasks
  • Pulls parts according to customer and shop orders and delivers parts to packing area
  • Calls to schedule pick ups
  • Coordinates with repair center and field service to identify the required delivery method and packs accordingly
  • Prepares freight for delivery by shipper, secures to pallet, and completes shipping paperwork
  • Receives shipments, including verifying accuracy of parts and quantity against system inventory
  • Places parts on shelves and organize warehouse locations as needed
  • Fills emergency back orders and delivers to proper location as needed, drives parts to designated location
  • Move parts and materials in the warehouse with mechanical assistance if needed
  • Ships SOS kits for CM group as per their orders
  • Performs various housekeeping tasks to ensure work areas are clean and free of safety hazards
  • Follows all safety rules and regulations when completing job responsibilities
  • Approves invoices as required
  • Expedites back orders from Caterpillar and Trimble as required
  • Prepares miscellaneous reports and graphs as required
  • Assists in the distribution of computer-generated reports and all daily mail
  • Files discrepancy claims with all vendors and insures accurate claim settlements
  • Provides general clerical and staff support for Parts Management and Service Manager as required
  • Opens, tracks, and inputs data into work orders
  • Maintains work order fields, including detailed maintenance of notes, parts, labor, etc.
  • Maintains records, logs, and files
  • Documents approval/disapproval of repairs
  • Creates, checks, and mails invoices and reports
  • Reviews work in progress reports to ensure jobs are open no longer than needed
  • Other administrative tasks as needed
  • Provides back-up for various inventory control procedures
  • Provides support for other department functions
  • Receives customer calls and walk in customers, obtaining all pertinent information needed to assist
  • Assists with vendor returns
  • Other duties as assigned by manager

    Physical Demands & Competencies:

    • Standing, walking, talking, sitting, use of hands & hearing
    • Ability to kneel or squat
    • Ability to push or pull up to 50 pounds
    • Ability to ascend/descend ladders, stairs, etc.
    • Medium work that requires lifting and/or moving up to 47 pounds or more
    • Data Entry, telephone, reading/writing, reasoning, organizational, communication & math skills
    • Basic knowledge of Microsoft Word and Excel
    • Safety & Product Knowledge
    • Ability to multi-task in a fast-paced environment
    • Ability to operate a motor vehicle

    Required Education and Experience:

    • High School Diploma or GED
    • Prior experience in a Parts Department preferred
    • 1+ years administrative/clerical experience
    • 1+ years customer service experience
    • Ability to operate a forklift
    • Basic familiarity with light industrial equipment including saws, hoisting equipment, and hose presses

    Additional Eligibility Requirements:

    • Motor vehicle license
