Dispatch Manager- Texas First Rentals
Job Summary: The Dispatch Manager will oversee and optimize our daily dispatch operations. As Dispatch Manager, you will be responsible for ensuring the efficient and timely coordination of our delivery vehicles to meet customer needs, internal and external, and achieve operational targets in a safe manner. You will lead a team of drivers, implement effective strategies, and maintain clear communication channels to ensure smooth and productive workflows. Essential Functions:
- Models, promotes, reinforces, and rewards the consistent use of HOLT’s Values Based Leadership (VBL) tools, models and processes to ensure alignment with our Vision, Values, and Mission
- Develops, evaluates, and influences effective and consistent productivity and teamwork to ensure the delivery of Legendary Customer Service (LCS)
- Team Leadership and Management:
- Recruits, trains, supervises, and mentors staff
- Delegates tasks, sets performance expectations, and provides regular feedback
- Fosters a positive and collaborative team environment
- Develops and manages work schedules to ensure adequate coverage
- Dispatch Operations:
- Safety and Compliance: Ensures adherence to safety regulations, company policies, and legal requirements is paramount; this may involve developing and implementing safety protocols, conducting safety training, and investigating incidents
- Plans, schedules, and coordinates the daily activities of drivers to meet service demands
- Optimizes routes and assignments to maximize efficiency and minimize costs
- Monitors progress, tracks locations, and proactively addresses any delays or issues
- Utilizes dispatch software and other relevant technologies effectively
- Ensures compliance with all relevant regulations and company policies
- Communication and Coordination:
- Serves as the primary point of contact for dispatch-related inquiries from branches and customers
- Maintains clear and concise communication with all stakeholders regarding schedules, changes, and potential problems
- Collaborates with other departments (e.g., customer service, sales, operations) to ensure seamless operations
- Documents all dispatch activities accurately and maintain organized records
- Problem Solving and Decision Making:
- Responds effectively to unexpected situations, such as breakdowns, traffic delays, or urgent requests
- Makes sound and timely decisions to resolve issues and minimize disruptions
- Implements contingency plans as needed
- Performance Monitoring and Improvement:
- Tracks key performance indicators (KPIs) related to dispatch efficiency and service levels
- Analyzes data to identify areas for improvement and implement effective solutions
- Develops and implements best practices for dispatch operations
- Identifies technology improvements
- Optimizes 3rd party vendor usage and spend
- Works safely at all times and adheres to all applicable safety policies; complies with all company policies, procedures, and standards
- Performs other duties as assigned
Knowledge, Skills, and Abilities:
- Strong understanding of logistics, routing, and scheduling principles
- Proficiency in using dispatch software and other relevant computer applications
- Intermediate MS Office skills with Excel, Word, and PowerPoint
- Excellent organizational, time-management, and multitasking skills
- Exceptional communication (both verbal and written) and interpersonal skills
- Strong problem-solving and decision-making abilities
- Ability to work effectively under pressure and in a fast-paced environment
- Knowledge of DOT regulations HOS etc
- Ability to work independently and within a team
- Demonstrated leadership, coaching and mentoring of a team of members
Education and Experience:
- High school diploma or equivalent required
- Three years of experience in dispatch operations required, preferably in a supervisory role
- Proven experience in managing and leading a team
- Experience in the equipment rental industry preferred
Supervisory Responsibilities:
- This position directs and manages the employees within the assigned work unit. Responsibilities include, but are not limited to, interviewing, hiring, and training employees; planning assigning and directing work; coaching and development; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
Travel:
- Up to 15%, including overnight stays
- Valid driver’s license
Physical Requirements:
- This position involves extended periods in a stationary position; additionally, occasional movement inside the office to access office machinery, file cabinets, etc.
- This role frequently communicates with others, must be able to exchange accurate information in these situations.
- Routine use of standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines
- Ability to move and/or transport items weighing up to 15 lbs.
- Significant time spent standing, sitting, and walking
- Daily walking to the shop or yard environment
- Minimal time kneeling, crouching, stooping, balancing, and reaching
- Constant movement and use of hands, requiring good manual dexterity
- Communication with customers, service managers, and co-workers
- Routine reaction to visual, auditory, and other signals, including alarms and instructions, with visual inspection of work
- Ascending/descending stairs daily using both hands and feet
Work Environment:
- This job is generally performed in a professional office environment and in a shop environment
- Occasionally works outdoors and may be exposed to weather extremes conditions that include inclement weather, heat, cold, and humidity.
- Frequently works at fast pace with unscheduled interruptions
