- Manages leader’s calendar so their time is used efficiently in relevance to importance of tasks that need to be completed.
- Manages the business and personal, day-to-day administrative affairs, of the leader by assessing and determining the disposition of all administrative tasks that must be performed, while ensuring accuracy and completeness of the tasks.
- Maintains an efficient flow of information between all levels of the leader’s internal and external contacts on a wide spectrum of the organization's plans and priorities.
- Manages/coordinates various departmental meetings and events such as, but not limited to, leader/senior leadership meetings, lunch/dinner meetings, and other confidential meetings.
- Assists leader and his or her direct reports with communications projects including presentations and a variety of written materials.
- Manage leaders travel arrangements. Inclusive of, but not limited to booking, hotel, restaurant and rental car reservations in a resourceful and cost-effective manner.
- Other duties as assigned.
- Assist other administrative assistants by assisting with or taking on work in order to keep projects on schedule and the workflow moving.
- High School Diploma or GED
- Minimum of 7 years of administrative experience
- Associate or bachelor’s degree in Business
- 7 years or more of experience in a leader assistance or administrative assistant role.
- Leadership experience
- Excellent communication skills—verbal and written—with people at all levels of the company, with Caterpillar associates, customers and outside vendors.
- Excellent analytical skills, including the ability to interpret and apply policies, procedures, guidelines and laws as well as developing and managing projects that require this skill set.
- Ability to work in a fast-paced, high-pressure, deadline driven environment.
- Strong multitasking abilities, detail-oriented and self-motivated.
- Strong leadership skills, including creative thinking, decision making, goal setting and delivering results on projects and assignments.
- Strong interpersonal skills and ability to manage conflict in a win/win style.
- Professional demeanor with both internal and external contacts including personal appearance and friendly, courteous treatment of peers, subordinates and people at all levels inside and outside the organization.
- Strong computer skills experience with Microsoft Office (Outlook, Word, Excel, and PowerPoint), and the ability to learn internal systems.
- Ability to respond to and handle confidential business and personal information/documents with poise, tact, and diplomacy.
