Job Description
Peterson Power Systems had a need for a Service Sales Administrative Assistant based at our Hillsboro, OR location.
SUMMARY
The Service Sales Administrative Assistant provides administrative and operational support to the Service Sales team, ensuring efficient coordination between customers and internal teams. This role assists with documentation, communication, and process flow to support customer service, departmental efficiency and effectiveness, and overall Product Support Sales operations.
ESSENTIAL JOB FUNCTIONS

- Assist Service Sales team with filing paperwork, opening accounts for new customers, and submission of credit documents for review by Credit Team. 
- Coordinate and organize exchange of commercial documents and contracts between customers point of contact and Peterson Legal team. 
- Track contract reviews and keep Sales Representatives apprised of status. 
- Communicate any revisions to contracts, or Terms & Conditions requested by Contract Review to the customer. 
- Request missing documentation for or from customers such as prime contracts, subcontracts, credit application and certificate of insurance. 
- Support documentation of customer information, including Site Surveys. 
- Assist in parts ordering processes. 
- Review and distribute sales leads to Service Sales team to follow up. 
- Work with Corporate Receptionist and IT staff to keep internal phone list updated so it is accurate and sent out regularly. 
- Prepare and turn in expense report, for reimbursement of meeting supplies when purchased, and mileage for running errands throughout the week. 
- Provide backup and support for Power CVA Specialist. 
- Assist with marketing efforts, including distribution of materials, and planning around customer events. 
- Maintain punctual, regular, and predictable attendance. 
QUALIFICATIONS
High school diploma or general education degree (GED); and minimum of one (1) year of experience as an administrative assistant, ideally supporting a sales organization; or equivalent combination of education and experience.
