Accounts Payable Supervisor
About the Position:
We are seeking a hard-working and self-motivated individual to join our Corporate Accounting Team as our Accounts Payable Supervisor. This position reports to the Controller and supports our operations from our corporate offices in Tukwila, Washington. Our Accounting Team is high performing, results-oriented, and team-focused in meeting our business objectives.
Key Responsibilities:
AP Invoice Processing
- Review and process a high volume of vendor invoices accurately and in a timely manner.
- Verify invoice accuracy, ensuring proper coding, approvals, and adherence to guidelines.
- Audit data entry of other AP team members.
- Oversee check and payments run, this includes printing and distributing paper checks, processing of electronic payments, and communicating remittance information to vendors.
- Work with vendors and other branch staff to resolve invoice discrepancies and reconcile monthly vendor statements.
Leadership and Management
- Lead, train, and mentor a team of accounts payable staff, providing guidance and support to ensure high performance and professional growth.
- Foster a collaborative and positive work environment that promotes efficiency, accuracy, and continuous improvement.
Process Improvement
- Identify opportunities to streamline AP processes, automate repetitive tasks, and enhance efficiency.
- Implement best practices and controls to minimize the risk of errors, fraud, and late payments.
- Ensure compliance with internal controls and company policies to safeguard financial integrity.
- Assist with the development of policies and procedures, creating efficiencies and implementing best practices.
Reconciliation and Reporting
- Perform monthly reconciliations of accounts payable balances.
- Assists with month-end and year-end closings, including monthly budget and forecast variance analysis as pertains to expenses.
- Assist in the preparation of audit schedules and collaborate with auditors during financial audits.
System Management and Integration
- Serves as subject matter expert for the AP team, this includes the AP module within the accounting software, IRS and state tax regulations, and process improvement.
- Manage AP software and systems to ensure data integrity and process optimization.
- Support the automation of accounts payable processes and contribute to system enhancements.
Compliance and Risk Management
- Prepares and issues annual IRS form1099 according to IRS guidelines. Obtain vendor W-9s as needed to support vendor tax identification numbers.
- Assist with external agency audits. Ensure compliance with internal policies and external regulations.
- Performs various other duties and serve as full back up to AP team members.
Qualifications:
- High School diploma or equivalent required. 2-3 years of experience in AR/AP and an Associate Degree in Accounting preferred.
- Supervisory experience is essential.
- Accounting and General Ledger knowledge, high attention to detail with effective decision making problem solving skills.
- Must have proven excellent customer service skills and work ethics. Self-directed, independent, and a team player with strong initiative.
- Professional, verbal and written communications skills are essential along with attention to detail and meeting deadlines.
- Previous experience with a Caterpillar dealership or in a related industry is a plus.
- Proficient in MS Office Suite (Word, Excel, Power Point, MS Outlook), data entry and presentation software.
