We’re seeking a highly organised and detail‑driven Laboratory Administrator to support the smooth and efficient operation of our SOS Oil Laboratory. Reporting to the Mechanical Fluid Analysis Lead, you will play a key role in ensuring accurate data entry, timely customer support, and seamless administrative coordination across the laboratory team.

This role is ideal for someone who thrives in a fast‑paced environment, enjoys problem‑solving, and takes pride in delivering high‑quality work that supports broader business objectives.

 

Roster:  Mon – Fri 8.5 hours per day (including unpaid meal breaks) 

Location: South Guilford

 

What you’ll do: 

  • Accurately enter all oil analysis sample data into CAT SOS within required timeframes (95% accuracy, 24‑hour turnaround).
  • Respond promptly to customer enquiries via Zendesk and phone, ensuring high‑quality service.
  • Process SAP orders, VIMs and related purchasing tasks to support uninterrupted laboratory operations.
  • Provide high‑level administrative support to the Laboratory Operations Manager and broader lab team.
  • Assist the Laboratory Business Development Specialist, Laboratory Supervisor, Interpretation Team and Marketing with required information and coordination.
  • Maintain compliance with WesTrac policies, procedures, quality guidelines and safety requirements.
  • Identify opportunities for process improvements and action approved changes through the CI system.
  • Provide training and guidance to customers on correct oil sampling procedures to improve data quality and customer satisfaction.

 

Skills and Experience:  

 

  • Certificate III in Business Administration desirable (not essential).
  • Minimum 3 years’ experience in a customer service or administrative role.
  • Strong communication skills — written, verbal and interpersonal.
  • High attention to detail with proven accuracy in data entry.
  • Intermediate computer literacy (MS Office, SAP, internet‑based systems).
  • Excellent time management and organisational skills with the ability to manage multiple priorities.
  • Ability to work both autonomously and collaboratively within a team.
  • Experience in a Caterpillar dealership or with WesTrac systems desirable.
  • Exposure to quality assurance or audit control processes advantageous.
