Be the backbone of a large, high‑performing Field Service operation supporting over 60 technicians across the Hunter Valley. This is a fast‑paced, hands‑on administration role where your work directly enables frontline service delivery to major customers.

WesTrac is seeking an experienced Service Operations Administrator to join our Mt Thorley team, providing critical operational, compliance and customer support within our Field Service division. You’ll work closely with technicians, leaders and customers to ensure work orders, documentation and compliance requirements are executed accurately and on time.

This role suits a confident administrator with experience in a workshop, service, logistics or operational environment who is ready to step beyond general admin and build a long‑term career in operations, projects or leadership.

Key Responsibilities

  • Provide endtoend administrative support to the Field Service team, including document control, records management, data entry and office coordination.
  • Manage service and work order administration, including purchase requisitions, goods receipting and supporting documentation.
  • Maintain technician training schedules, competency records and compliance documentation.
  • Coordinate customer and site inductions, including medical bookings and site access requirements to ensure technicians are jobready.
  • Administer uniform and PPE distribution, maintaining accurate inventory records.
  • Support safety administration activities, including compliance documentation and audits.
  • Liaise with internal stakeholders, customers and external partners to support service operations.
  • Contribute to continuous improvement initiatives to enhance efficiency and customer experience.

Skills & Experience

  • Experience in an administrative role within a service, workshop or operational environment.
  • Strong customer service skills with the ability to build effective working relationships.
  • Proven ability to manage competing priorities in a fastpaced environment.
  • Clear and professional written and verbal communication skills.
  • Proficiency in Microsoft Office with strong attention to detail and data accuracy.
  • A proactive, solutionsfocused approach with a commitment to continuous improvement.
