Sales Support Rep I
- Serve as the primary internal point of contact for machine sales transactions from order receipt through final delivery.
- Process customer machine sales orders, ensuring accuracy and timely completion of all required documentation and system updates.
- Review customer orders against inventory and coordinate equipment sourcing, transfers, and ordering activities to fulfill customer requirements.
- Coordinate machine orders, logistics, and delivery schedules while tracking progress throughout the sales process.
- Provide regular status updates to sales representatives through internal systems, email, and phone communication.
- Maintain accurate inventory records, including sold and reserved equipment status within company systems.
- Prepare customer invoices, charge estimates, and supporting accounting entries required for completed sales transactions.
- Partner with finance teams to support customer financing requests and facilitate successful order fulfillment.
- Manage and maintain complete machine files, including financial, warranty, delivery, and related transaction documentation.
- Coordinate machine preparation activities with service departments and external vendors to ensure equipment meets customer specifications.
- Arrange and track installation of attachments, parts, repairs, and other equipment modifications while managing related vendor invoices.
- Organize transportation logistics, freight documentation, purchase orders, and delivery paperwork to ensure on-time asset delivery.
- Coordinate equipment demonstrations and loaner units, including scheduling, equipment readiness, customer documentation, and billing support.
- Develop and maintain a strong understanding of equipment, rental products, product configurations, and sales support processes.
- Cross-train and provide support across multiple sales support functions, including General Line (GL), CCE, SITECH, EPG, and Used Equipment operations.
- Travel is required for training and/or to assist at other locations.
- Ability and skill in finance and accounting concepts and theories.
- Strong computer skills and the ability to effectively learn and use company software with training.
- Excellent customer service, verbal communication, and interpersonal skills.
- Understanding of company operations and processes to independently answer routine sales inquiries from customers, Caterpillar, and internal personnel.
- Strong knowledge of terminology related to the company’s products and services.
- Basic understanding of warranty administration and Caterpillar insurance programs.
- Basic understanding of NACD and District program applications and requirements.
- Ability to drive and valid driver’s license required.
- Bachelor’s degree in business or accounting
- Experience in customer service, administrative, sales support, accounting or related field, performing similar duties
