Administrative Assistant – Office

Ziegler CAT has an opening for a Department Administrative Assistant that provides high-level administrative support by handling information requests, and performing clerical functions such as taking phone calls, preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.

Responsibilities:

  • Answers phone calls and direct calls to appropriate parties or take messages
  • Performs general office duties, such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work
  • Reads and analyzes incoming memos, submissions, and reports to determine their significance and plan their distribution
  • Makes travel arrangements for management
  • Coordinates events with other departments
  • Organizes meetings, conferences and, seminars; including catering, audio/visual setup and attendance registration
  • Prepares and mails informational packets to returning and new customers
  • Works in a cooperative manner with team and superiors

Qualifications:

  • High School Diploma or GED required; 2 or 4 year College Degree preferred
  • 1-3 years related experience preferred
  • Personal Attributes: Commitment / Dependability, Learning Orientation, Problem Solving, Efficiency, Attention to Detail
  • Proficient in Microsoft Office Suite
