Fleet Service Coordinator

The Role

The Fleet Service Coordinator will manage and administer the rental fleet repair process.  Communicate with service department and rental department to ensure timeliness of rental fleet repairs.  Approve all work on rental fleet equipment.  Ensure regulatory compliance with state and federal agencies (OSHA, DOT, etc.).

 

Job duties:

  • Responsible for rental fleet downtime to assigned locations
  • Assist with rental fleet repair scheduling
  • Open, maintain and close rental fleet work orders and segments according to company policy and procedures
  • Coordinate rental fleet repairs with responsible FEC Service Supervisor
  • Assist with communication of repair requests between sales and service
  • Communicate machine down information/urgency with service management and product support management
  • Coordinate customer damage notification, estimate and billing process
  • Coordinate ESSO process for rental equipment being repaired by FEC
  • Track machine PM services and communicate with appropriate personnel to schedule
  • Track and manage aerial fleet annual inspections
  • Track and manage rental fleet DOT inspections to ensure compliance
  • Manage fleet acquisition and disposal repair process
  • Assist with maintenance of labor entries according to company policy and procedures
  • Assist with maintenance and dispatch of Foley Maintenance Plan for rental assets
  • Process invoices according to company policy and procedure
  • Greet customers, answer phones and assist as needed
  • Perform and communicate data analysis as required
  • Process COD invoices and collection as per company policy and procedures
  • Process manufacturer’s information as required
  • Process purchase orders as required
  • Assist with maintenance of monthly work orders
  • Perform general clerical/administrative duties
  • Maintain a professional and safe work area

Our Ideal Candidate

  • Associates degree (A.A.) or equivalent from two-year college or technical school; or one year of related experience and/or training; or equivalent combination of education and experience
  • Ability to perform mathematical calculations
  • Must be skilled on computer operation and functions and have command of Microsoft office, ability to learn other systems as required
  • Possess prior knowledge of the industry and/or warranty and its equipment
  • Must possess strong organizational skills
  • Excellent customer relations and communication skills, ability to maintain positive working relationships with co-workers and customers
