JOB SUMMARY:  The HR Administrative Assistant is responsible for supporting a variety of HR and safety functions including compliance, new hire processes, record keeping, and other HR functions efficiently, consistently and with exceptional customer service.

ESSENTIAL FUNCTIONS: 

 Safety

  • Actively cares, promotes, manages, and advocates safety at Western States.  As a leader and team member in the organization, it is critical to ensure all employees, vendors, and clients have a safe work environment while adhering to all applicable safety policies, procedures and standards.
  • Maintains clean/clutter free personal work areas to ensure safe environment for all WSECO employees.
  • Adhering to required personal protective equipment (PPE) as identified in safety policy.

 ESSENTIAL FUNCTIONS: 

 Human Resources

  • Assist HR team with compliance-related activities and tracking.
  • Assists Senior HR Business Partner with new-hire documents such as I-9s and key fobs. Maintains files for current and terminated employees, including offsite records.
  • Assists with coordination of quarterly drug testing and invoice coding. Maintains employee rosters and drug testing records.
  • Supports department wide projects such as open enrollment, wellness initiatives, W-2 mailing, etc.
  • Distributes paychecks to new hires.
  • Opens and distributes mail.
  • Coordinates team meetings and orders lunches as needed.

 Safety

  • Files safety related materials.
  • Coordinates audiograms.
  • Administers the safety boot and safety eye ware program.
  • Assist with administering Workers Compensation program including return-to-work documentation, preparing and submitting WC claims, coordinating post-accident drug/alcohol testing.

 General

  • Actively cares and advocates safety at Western States.  Adhere to all applicable safety policies, procedures and standards.
  • May accomplish training and serve as a team member in support of Western States’ strategic programs, projects, and initiatives.
  • Works within and promotes corporate vision, mission, and values of the organization.
  • Performs other duties as assigned.

KNOWLEDGE SKILLS AND ABILITIES:

  • Excellent verbal and written communication skills, strong detail orientation and multitasking skills required.
  • Ability to handle sensitive information with respect to individual and corporate confidentiality.
  • Working knowledge of computers including the Microsoft suite of products.
  • Ability to develop and maintain effective working relationships with others.
  • Provides exceptional client service.
  • Consistent attendance.

 EDUCATION AND EXPERIENCE: 

  • Proof of high school diploma or General Education Degree (GED).
  • 2 years of comparable administrative experience. Preference given for similar HR experience.        
  • Must be able to communicate (speak, read, comprehend, write in English).

PHYSICAL CHARACTERISTICS: 

  • Must be able to sit for long periods along with walking, standing, climbing stairs, reaching pushing, pulling, leaning and twisting.
  • Able to lift up to 30 lbs in accordance with Western States’ Lifting Safe Work Practice to include amount and approach.
  • Must be able to meet all safety requirements for applicable safety policies.
