Service Coordinator

Provide Service and Operations support for the Service Department. Service plays a critical role in the daily operations associated with service and repairs.  Position requires interaction with the  Operation group and effective communication with customers as necessary.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  1. Monitor and manage work in process daily for accuracy and take necessary steps to follow up or escalate when necessary
  2. Effectively communicate and build relationships with the PSSRs and other departments to regularly review and approve assigned work orders
  3. Maintain strong knowledge of quotes and contracts in effort to minimize discrepancies and rebills in customer invoices
  4. Manage assigned cash sales in timely fashion for collection prior to invoicing
  5. Successfully communicate with customers to obtain approvals and PO#’s to close and invoice work orders in a timely fashion
  6. Process P-Card transactions in Concur
  7. Weekly meetings with the Operations Manager to review work in process in an effort to achieve financial targets
  8. Train on all the Service functions in DBS, Service Link and SAP
  9. Ability to succeed in a collaborative team environment
  10. Willingness to take on additional responsibilities and projects when needed
  11. Utilize Contract Tracking system to support Customer Value Agreements
  12. Manage Work in Process for Rental and Sales Department

This position does not have supervisory responsibilities.

Education and/or Experience:

  • High School diploma or equivalent, post HS education preferred.
  • Successful candidate will have an excellent working knowledge of computers and Microsoft Office products.
  • Experience in a fast-paced customer-oriented environment is essential
  • Willingness to learn and perform all aspects of service office operations
  • Ability to adapt to an ever-changing environment and to understand the importance of positive customer relations.

Computer Skills:
-Microsoft Office (Word, Excel, Outlook, PowerPoint)
-Ability to use SAP software
-DBS, PSQ, EMT and Service Link functions

Language Skills:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence.

Mathematical Skills:
Ability to calculate figures and amounts such as discounts, and percentages. Ability to apply concepts of basic math.

Reasoning Ability:
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Primary work environment is an office and employee will spend most of their time sitting and operating a computer.

While performing the duties of this Job, the employee may be exposed to moving mechanical parts. The employee is occasionally exposed to high, precarious places; fumes or airborne particles; outside weather conditions and vibration. The employee is occasionally exposed to wet and/or humid conditions; toxic or caustic chemicals; extreme cold; extreme heat and risk of electrical shock. The noise level in the work environment is occasionally loud.
