Position Overview:

Join the Finning team! We have an exciting opportunity at The Cat Rental Store location. We are looking for a Service Writer where you will be responsible for maintaining the organization of the shop and field. You will write up and bill all work orders that come through on a daily basis and file them as required and ensure all information is on all billable paperwork. Along with building a professional and understanding relationship with regular and new customers, the Service Writer is responsible for making sure the paperwork is flowing in a timely manner.

Job Description:

  • Interface with customers in a courteous, business-like manner answering their inquiries and assisting in meeting their needs and getting information from other sources if required.
  • Maintain control of field mechanics and keeping field work orders up to date.
  • Work with the shop foreman to maintain control of all work orders.
  • Work with the parts personnel to keep control of parts and proper billing.
  • Oversee the scheduling of the lube technicians and maintains the service board in the shop to ensure effective service.
  • Open and close work orders
  • Process work orders and customer invoices with accuracy
  • Updating equipment status
  • Track down PO’s from customers
  • Work with service manager and shop foreman to maintain and support branch with cost effective ideas and processing
  • Build working relationships with local customers and employees
  • Maintain location of mechanics at time to ensure safety
  • Open and close invoices and average age of timecard entry
  • Code accounts payable and expense reports
  • Opening of Maintenance Customer Orders
  • Support the Service Work in Progress (SWIP) process and to identify the aging of work orders
  • Tracking near miss and incident reporting for the branch
  • Maintain safety records
  • Support Customer Service Representatives
  • Process Account Payables
  • Other duties as required

Qualifications:

  • 2+ years of administrative experience preferred
  • Proficient knowledge of computer applications (Windows, general office equipment, electronic mail, word processing software, spreadsheet software, inventory control software, Internet browser)
  • Thorough understanding of computer system or training as required
  • Strong attention to detail
